We are in receipt of your notice which informs us that our recent Form 8868 which requested an extension of due date to July 15, 2014 for our Form 990 was not approved because the postmark date on the mailing envelope was later than the return due date of April 15, 2014.We are unable to explain this inasmuch as the envelope was dropped into the US Mail on the same date as the signature date on the form, April 8, 2014, which was one full week prior to the return's due date. The US postal sub-station in our not-for-profit's neighborhood has mail pickup twice per weekday. At the latest, the envelope should have been postmarked on April 9. Unfortunately, we have no way to research what the post office postage canceling delay might have been, and we did unfortunately not pay extra for a proof of mailing certificate.We made certain that this Form 8868 was mailed nearly a week prior to the due date so that there wouldn't be the possibility of a late request. You can see from our past history that our tax returns and extension requests are always filed in a timely manner. This current error, which we can't explain because I believe it was external to our organization, is clearly an anomaly.We are a small not-for-profit, and our annual Form 990 is prepared by a retired accounting professional who does volunteer work for our organization. He has learned the requirements of the recent revisions to Form 990 and has prepared our returns for the past ten years. At the present time, he is traveling out of country and will not be back until approximately June 15. Until his physical return to Hawaii, we won't be able to complete our tax return for the period ending August 31, 2013.Can you please reconsider ruling an approval for this extension request? We truly prepared and dropped in the mail box the Form 8868 on a timely basis. It would be a significant financial hardship to be assessed penalties and interest for the nearly three months that will have lapsed between the April 15 due date and the July 10 expected tax return completion date.Your consideration is greatly appreciated.
